Everytime i need to add a coin to numista i need to do these things but the picture looses a lot of quality in the process, is there a way to stop this from happening?

Depends on what you are doing to lose so much quality. Are you resizing, rotating and or reformating?
For round coins it is quite simple. Use a circular cropping tool from any foto editor more advanced than paint. For irregular shapes it can be sometimes tricky especially with low picture source quality (low contrast, low resolution etc.).

I usually crop them on my phone (as a square) and then use this site https://share.google/59nVLTVSjympGfFbx but they make the images more pixelated and i havent yet found similar sites that do otherwise.
And then i use another site to convert the pics from PNG to JPG.

I use https://pixlr.com/remove-background/ which will remove the background and crop the photos too. You will still need to covert from png to jpg. i have had some issues with it but there is a manual part where you can make adjustments to the photos yourself.
From this topic 13 years ago I downloaded,
and still use to this day, the free program PhotoScape

But why would you need that for a round crop though? Look at all those jagged edges. This took 30 s including the rotation and down sizing.

You can of course spend a bit more time to completely accurately crop it and maybe add a feathered edge that it looks less obviously cropped. But such generic geometric shapes are easily attainable by most editing software (yes, also the free ones).

Because many times they're not perfectly round, like this one done with a mask and background removal AI.
30 sec is not bad, some do it in 2 sec all inclusive, without any artifact detected later by the repair control service.
Hope for them
I use this website to remove background:
Works well, and doesn't reduce the quality of pictures
Used time zone is UTC+2:00.
Current time is 09:42.
